Job Description

 

Our client, a law firm located in West Chester is seeking to add a Legal Assistant to their team!  This position is responsible for floating within the firm to provide back up support to various practice areas.  This company offers its employees a great compensation package that includes a competitive salary, and benefits that include medical, dental, vision, an d 401K!

 

Essential Functions and Responsibilities:

  • Covers absences by sitting at assigned workstation of Legal Assistants/staff who are out to provide needed support to attorneys. 
  • Creates, types, edits, and compiles documents and correspondence, including email and faxes.
  • Receives and transcribes legal dictation from draft or dictated text. Prepares and processes legal documents with courts and other agencies.
  • Manages and maintains calendar for attorneys including clients meetings, court dates and times and other appointments.  Arranges for conference rooms as needed.
  • Answers phones and provides information in response to telephone calls.
  • Reviews, sorts, date stamps and scans incoming mail. Ensures the effective delivery of outgoing messenger deliveries and overnight deliveries.
  • Responds to and assists clients by answering questions, providing information and assuring appropriate follow-through and/or resolution.
  • Organizes and maintains case files, pleadings and other documents.
  • May enter attorney time, reviews billing, and conducts conflict checks and preparation of new matter memos.
  • Prepares and maintains electronic and hardcopy files. Scans and stores documents according to defined procedures. 
  • Provides back up support to Receptionists as needed, including branch offices.

 

Knowledge and Skills:

  • High school diploma required
  • Minimum of years administrative experience within a law firm.
  • Working knowledge of Outlook and iManage or similar document management system required.
  • Computer proficient with working knowledge of MS Word and MS Excel required.
  • Ability to work with documents and produce documents from transcription with accuracy.
  • Keyboarding skills of 70 wpm or higher required. 
  • Ability to work with frequent interruptions and adapt to changes in workflow. Must possess a positive attitude.
